Plate 05 / Data protection

Nobody governs a folder they have never located.

Most organisations can describe where regulated material is meant to live. Very few can describe where it has actually settled, which after a decade of exports, shared drives and well meant local copies is a completely different map. These two lines draw the real one, then act on what it shows.

OrderSweep first, then enforce

Exposure with a number stuck to it

The sweep covers hardware and the shares that hardware can see, identifies regulated records, payment data and confidential material, and counts it. Counting is the part that changes meetings. Exposure with a size can be ranked, funded and reported upwards. Exposure described as considerable can do none of those things and everybody in the room knows it.

Risk is priced one machine at a time, which hands clean up a running order you can defend afterwards. You work downwards from whichever hardware is carrying the most, instead of starting wherever the most recent complaint happened to come from. At any real scale that ordering is what separates a programme from a sequence of gestures.

Exposure with a size can be ranked and funded. Exposure described as considerable can be neither.

Then settle what is allowed to happen

The enforcing line applies scrambling invisibly to material the sweep has already sorted, and puts rules on the ways files leave: removable media, uploads, and the other exits people reach for the moment something feels urgent.

Rule sets can differ by group, and they should. A loading bay and a legal department do not work the same way, and imposing one rule set across both produces either an obstruction or a polite fiction. Separate sets let the control be strict where strictness is earned without bringing the rest of the business to a halt.

Sensitive Data Discovery

Finding it, sorting it, and pricing the risk

The first truthful answer to where the regulated material has ended up, which is hardly ever the place a policy document says it should be.

  • Sweeps hardware and the shares it can see for regulated and confidential records.
  • Sorts what it turns up and tallies it, so exposure has a size rather than an adjective.
  • Prices the risk one machine at a time, which gives clean up a defensible running order.

Scrambling the files and closing the exits

Finding it tells you where the risk sits. This line settles what may happen next: which files travel scrambled, and which exits off the machine are open at all.

  • Scrambling applied invisibly to material the discovery line has already sorted.
  • Rules on removable media, uploads and the other exits people reach for in a hurry.
  • Different rules per team, because a loading bay does not work like a legal department.

Where this plate stops

The honest edge of these 2 lines.

Written down in advance, so the question of what else the estate needs gets asked now and not in the middle of something.

  • Sweeping repairs nothing by itself. The first line tells you what is sitting where. Deleting it, moving it, restricting it or archiving it is a judgement only you can make, and the labour of doing so is yours or a project you commission on its own terms.
  • Automated sorting is strong. It is not infallible. Automated identification will now and then flag something harmless and now and then miss something peculiar to your industry. Read the output as a strong opening map for a human to review, never as a legal determination.
  • Only what is swept is in range. Hardware carrying the agent, and the shares it can reach, are covered. A cloud service nobody connected, or a machine outside the deployment, is not, however interesting what sits on it may turn out to be.
  • Scrambling files does not certify anything. These lines support an obligation. They do not discharge one. Whether your programme satisfies a particular regulator is a determination for your counsel and your auditor, and we will not make it on their behalf or imply that a subscription has.
  • Someone with permission can still take a copy. Read access is take access, at least as far as human memory reaches. Closing exits raises the effort a great deal. It does not remove the possibility, and no product currently sold removes it either.
